Case study · Invoicing system
Invoicify
Our own invoicing tool. Hours go in and a correct invoice comes out, whether you use the Mac, the iPhone, or just ask an AI assistant.
The brief
Invoicing clients across Europe is fiddly. Dutch VAT, reverse charge for EU businesses, UK exports, four languages and numbering that can never skip. The tools we tried were either bloated or ugly.
We wanted invoices that look like us and never get the VAT wrong. We also wanted to hand the admin to an assistant.
What we built
- Mac app for hours, projects and invoices
- iPhone companion synced over iCloud
- MCP server with 12 tools
- One template, identical PDFs everywhere
Log hours per client, including shifts past midnight, then turn the open hours or a fixed price into a numbered invoice. The client's country picks the VAT rule and the invoice language.
The whole invoice is one HTML template. The Mac app, the iPhone app and the AI server all print it, so every PDF is identical, down to a compact mode for long invoices. It is white label: swap the template to rebrand it, and the app's accent colour changes live.
Over MCP an assistant can list projects, log time, create invoices and mark them paid. It works on the same data file, with locking so the three apps never overwrite each other.
Under the hood
By the numbers
- 12 MCP tools for your assistant
- 3 Apps, one invoice template
- 4 Invoice languages, picked by country

worth building?
Rough is fine. Send us the idea before it is tidy, while there is still room to make it stranger.
- A reply within two working days
- A plan and a quote. No pitch deck
- A straight no if the budget and the idea do not match
